Typically, when someone replies to your email, their response goes back to the email address you sent it to. However, there are some email providers that customize the email address where you receive the email.
Using that feature, you can receive an email that is different from the one you use to send email. For example, if you send an email from firstname.lastname@example.org, you can send a reply to email@example.com instead of the starting address.
You can easily set up this feature in some of the major email services, which we give you below.
How to use a custom reply-to email address in Gmail
When it comes to exciting features for your email, Gmail easily wins the race. There are a ton of tasks for you to use and explore in the service. One of these is the ability to use any email address as your answer.
With this, you can specify any address you wish to email as your answer. If you prefer it responds to you without ever having to hit their main Gmail address.
Adding reply-in addresses to Gmail does not require verification. As a result, you can enter any email address. Make sure you don’t misunderstand what you enter, or someone else will receive all your email responses.
Here’s how to set an answer-address in Gmail:
Access the Gmail site and log in to your account if necessary.
Click on the gear icon at the top-right and see all settings to see the main Gmail settings page.
From the tab list at the top, choose the one that says Account and Import.
Locate the section that says Send Mail; It shows all email addresses tied to your Gmail account.
Find the email address you use to send the email and click edit info next to its information in gmail
A new window will open, from which you can edit your account name. Here, click on the link that says specify a different “reply-to” address.
Enter your reply email address in the field provided and click Save Changes for Email in Gmail
This will take you back to the Gmail settings page and you will see a new specified reply-email address on your screen.
How to use a custom reply to an email address in Outlook
Outlook has many lesser known features that make your emailing experience easier. One of these lets you specify a custom reply-to address with each email being written in the app.
As it turns out, you can do this for individual messages or set a global reply-to address. We will cover both processes.
Using individual email to reply to Outlook
Using this method, you can use different reply-in addresses for different emails that you send. A custom reply-to-email address for a certain message when you only want a certain reply. This will not affect your other emails; They will continue to receive responses to your main email address.
You can set this feature in Outlook as follows:
Launch Outlook and click on the New Email option at the top to compose a new message.
A new email window will open on your screen. At the top, find the tab that says Options and click on it.
Under the Options tab, find the Direct Reply to option and select it. Email reply in outlook
Look at the section that says delivery options and send the reply to the email in Outlook click on the name next to the answer
Now you can select a contact from your contact list that you want to use as an answer. If you do not have a contact, manually type in the email address below and click OK. Type or reply to the email
Select Close on the following screen and you will return to the Email Compose window.
Write your email as you normally would and send it while you work.
When the recipient responds, their response will go to the email you specified.
Using an Outlook reply-to address for all answers
Outlook also gives you the option to use custom reply-to-email addresses for all your messages. That way, every time you write a new message, you don’t have to enter a reply.
This process requires you to modify the settings of your email account to include your new reply in the email. You can use the steps below:
Launch Outlook, click the File tab at the top, and select Info from the left sidebar.
In the main panel, choose Account Settings, followed by Account Settings again. View account settings
Make sure you are inside the email tab. Then, select your email account from the list and click Change Email Settings at the top.
Depending on how you set your current email in Outlook, you’ll get different screens to modify your options. If you see the More Settings button on your screen, click on it and enter a reply-to email address on the following screen.
